Rally Cancellations and Refunds

While we hope every rally experience is enjoyed to the fullest, we understand that sometimes cancellations are unavoidable. We approach these situations with empathy and transparency, aiming to minimize inconvenience for all involved.

Cancellation Incurred Costs

Chapter 8 incurs certain expenses with each cancellation, including:

• • Credit/Debit Card “chargeback” fees and other banking fees

  • Deposits for campgrounds, concessionaires, and restaurants

  • Administrative overhead costs for printing and rally management overheads

Unfortunately, these costs are often unrecoverable, impacting our ability to refund in full. However, we strive to manage these situations fairly.

We recommend that our valued members consider trip travel insurance to safeguard against unexpected cancellations and mitigate potential losses.

Cancellation Policy

Our refund policy reflects our commitment to fairness and flexibility:

Cancellation Policy: A full refund (minus a $50 cancellation fee per rig) will be given for cancellations received prior to November 30, 2024. To request a cancellation refund, please send an email to the Wagonmaster at [email protected] with REFUND REQUEST in the Subject line. If there is a cancellation between December 1, 2024, and December 31, 2024, a refund of 75% (less the $50 Cancellation Fee) may be given provided a replacement registrant can be found for the canceling party before December 31, 2024.  No refunds will be granted after January 1, 2025. In all cases, the Wagonmaster has sole discretion to grant or deny a rally refund.
